What to Expect: Our In-Person Service Process
Note: The onboarding process below applies specifically to our 1:1 in-person community experiences and does not apply for clients seeking virtual only services.
We provide highly skilled, specialized, and individualized 1:1 life skills training and community experiences . Since we serve individuals with complex communication, sensory, behavioral, and physical needs, our onboarding process is based on over a decade of experience and intentionally designed to facilitate success by building trust, rapport, and safety. This allows us to gain essential insight into our clients’ unique personalities, interests, goals, individual strengths, and support needs before embarking on full community outings.
Step 1: Initial Virtual Consultation (Required for New Clients)
Before our first in-person meeting, we hold an initial virtual consultation with caregivers. (Note: This step may be waived for familiar or returning clients)
Because 1 hour is rarely enough to thoroughly discuss complex profiles, this consultation typically takes 1.5 to 2 hours. We can complete this in a single session or split it into two 1-hour calls—whichever best fits your schedule and energy bandwidth.
The client is more than welcome to be present. However, it should be noted that some topics covered may be sensitive, such as regulation needs, behavioral history, and safety considerations
- The Goal: This goes far beyond the initial screening call. We gather initial background information about the client, including their strengths, communication profile, sensory & regulation needs, safety considerations, mobility considerations, and personal interests and goals.
- Why It Matters: Gaining this information via virtual conversation ahead of time allows our first in-person meeting to be completely client-centered and dynamic. It frees us up to focus entirely on building genuine rapport and connection with the client.
Step 2: Foundational Initial Visit (Required for Establishing Services)
Before heading out on full community adventures, we conduct at least 1 initial foundational visit. (Note: Required for all clients upon establishing initial services. This step does not need to be repeated unless there has been a significant gap in service or some other change).
We generally recommend a 2-hour session, which often begins in a familiar setting (such as a home visit) and often transitions to a low-demand nearby location (like a quiet neighborhood park or nearby favorite location). Like our full outings, this visit carries a +/- 1 hour scheduling flexibility window so we can adjust duration in real time based on the client’s regulation, comfort, and energy.
Depending on the client’s comfort and support needs, additional foundational visits may be recommended prior to broader community adventures
- The Location: Starts at a familiar, comfortable environment such as the client’s home, a quiet neighborhood walk, a calm park nearby and may transition to a local familiar and favorite place.
- The Goal: Building genuine rapport and mutual trust at the client’s pace in a setting where they are regulated and feel secure.
- Why It Matters: This visit gives us essential observational insight into the client’s dynamic communication cues, sensory processing, regulation patterns, and support needs. Learning how they engage firsthand allows us to thoughtfully tailor support strategies and build a foundational understanding for future community adventures.
Step 3: Community Adventures!
Once the Initial Virtual Consultation and Foundational Initial Visit goals are achieved, we transition to full community adventures
- 2-Hour Minimum: Community engagement requires time for transitions, sensory processing & regulation, skill practice, and communication strategies. To avoid rushed transitions and honor the client’s individual pace, all community outings carry a 2-hour scheduled minimum.
- Scheduling Flexibility (+/- 1 Hour Window): Real-world community outings are dynamic. Outings may be extended or shortened based on each client’s needs that day, including real-time energy, sensory regulation, or interest. We provide a best estimate of timing, but ask caregivers to maintain a +/- 1 hour flexibility buffer on each side of the target session duration
- Accurate Billing: Services are always billed for the actual time with the client and/or caregivers. If an outing wraps up early to honor a client’s regulation needs or extends because of deep engagement or prevention of a negative experience from a rushed transition, your final invoice will reflect the time spent, rounded up to the nearest 15-minute block.
